CRM Bunker — Data Deletion Policy
Last updated: 21 October 2026
This page explains, in plain terms, what happens to your data when you cancel CRM Bunker, and how and when it's deleted. It summarises our internal Data Retention & Destruction Policy and should be read alongside our Privacy Policy and Terms of Service.
While your account is active
Your data stays in your account for as long as it's active. Apart from automatic deletion settings you choose yourself (below), nothing in your account is deleted unless you delete it.
Settings you control
- Internal team chat: you can set chat messages to delete automatically after a period you choose, or keep them indefinitely.
- Archived tasks: kept indefinitely by default, or you can opt in to automatic deletion after a number of months you choose. Your admins get an email warning 7 days before.
When you cancel
- If you're on a paid plan, your team keeps full access until the end of the period you've already paid for, and you won't be charged again. If you're on a free trial, access continues until the trial ends and you're never charged. You can undo the cancellation any time before access ends.
- When access ends, your account is suspended. Your team can no longer sign in, but nothing is deleted yet.
- 180 days after access ends, everything in your account is permanently deleted: contacts, tasks, notes, internal chat, uploaded files, invitations, notifications and team member accounts. We email your account's admins 30 days before this happens, explaining how to reactivate.
- If you reactivate before then, everything is restored as you left it.
- You can ask us to delete your data sooner at any time by emailing [email protected].
If we suspend or close an account
If we suspend or terminate an account under our Terms of Service (for example, for non-payment or a breach), the notice periods in Terms of Service Section 12 apply, and the same deletion timeline follows once the account is confirmed for permanent removal. Data that's subject to a genuine legal hold (for example, a formal legal notice about a specific account) may be kept until that hold is released.
How deletion is carried out
Deletion is permanent, not a hidden flag. When an account is deleted, everything connected to it is removed together in one operation, so nothing is left behind.
Backups
We keep encrypted, tamper-protected backups for disaster recovery, stored in Sydney, Australia. A copy of deleted data can remain in these backups for up to 60 days after deletion from our live systems. Backups are then removed automatically. We don't keep backups indefinitely.
What we keep after deletion
After a permanent deletion, we keep a minimal record, separate from your actual data, confirming only that your business was once a customer: a name, an internal reference, and the relevant dates. No contact data, notes, tasks, or messages are included. This is for our own accounting and audit purposes, not a way of retaining your information under another name.
We also keep the log of our own staff's access to your account — who accessed it, what they did, when, and why — for 2 years from the date of each entry, even after your account is deleted, so that access can always be accounted for. These entries contain none of your contacts, notes, tasks, or messages, and are permanently deleted after 2 years.
